Description Job Summary: We are seeking a full-time, detail-oriented, and proactive Office Assistant to join our dynamic team. In this role, you will provide essential administrative support and assist with various tasks to enhance the team's productivity and ensure daily operations run smoothly. The ideal candidate is highly organized, dependable, able to work independently, takes initiative, and thrives in a team-oriented environment. This position reports directly to the Chief of Staff and offers an exciting opportunity to contribute to a positive and professional workplace. Work Schedule: + Monday to Thursday: 8:00 AM - 5:00 PM + Friday: 8:00 AM - 3:00 PM + Must have the flexibility to work other days if required due to schedule changes. Key Responsibilities: Front Desk Operations: + Manage front desk activities, greet visitors, and handle inquiries in a friendly and professional manner. + Answer and manage incoming calls efficiently and direct them appropriately. Administrative Support and Office Organization: + Perform filing, data entry, and maintain accurate records (physical and electronic). + Prepare and send outgoing mail, including USPS and FedEx shipments. + Monitor and maintain office supplies, ensuring timely restocking when necessary. + Operate and maintain general office equipment such as copiers, scanners, fax machines, and postage machines. Team Collaboration: + Work closely with team members to support the smooth flow of daily operations. + Take initiative to identify and implement process improvements to enhance efficiency. Requirements Qualifications: + Minimum of 2 years of receptionist or front-desk experience preferred. + Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). + Strong organizational and time management skills. + Punctual, reliable, and professional in appearance and demeanor. + Excellent customer service and communication skills, both written and verbal. + Familiarity with office management practices and procedures is a plus. + Ability to multitask and handle multiple responsibilities efficiently. + High attention to detail and a proactive problem-solving mindset.
