Job Description

TopRank Marketing is looking to have you join our incredible team to work closely with our Sr. Project Manager and our VP of Client Accounts to manage on-time client deliverables across a book of clients. You'll leverage your ability to raise concerns over resourcing and timeline issues to quickly form relationships with internal team members, positioning yourself as the 'go-to' for internal project management tool questions, challenges and reporting.

Success is proven by delivery of client deliverables on-time and under budget for a book of accounts.

This is a short-term, with potential contract-to-hire position.
This role is 100% remote.

What You'll Do:
  • Project Management Tool Ownership
    • Update client projects daily based on client approvals, resourcing delays, timeline needs, etc. and align with the client-facing timeline as needed
    • Ensuring all tasks have the appropriate details, dependencies and actions for the team to execute without delay in timeline 
    • Adjust tasks based on internal capacity and deadlines
      • Sr Project Manager will communicate when these changes are needed 
    • Partner with senior project manager to resource new programs based on capacity of the team 
  • Reporting - reporting responsibilities include pulling and sharing out : 
    • Open task reports 
      • Weekly, reporting to the senior project manager what tasks are open, past due or without due date for all programs
    • Project Retrospectives 
      • as as-needed basis, work with senior project manager on reporting against closed project and exited clients on final hours and profitability for programs 
  • Client Communications
    • Send proactive client communications to account lead -- weekly client updates and next steps
      • Weekly status update, based on post-meeting email, including following up on client & TopRank to-dos
      • Changes in deadlines or delivery dates clearly called out 
  • Client Post Meetings
    • With inputs from AM via post-meeting action email & internal grid, Update project tasks, based on meeting actions within our PM tool, including:
      • Changes in client deadlines
      • Adding details/insights discussed in the meeting
      • Delays/changes in timelines due to client dependencies
      • Any new tasks coming out of the meeting

What We're Looking For:
  • 1-3 years of corporate experience, agency preferred to manage multiple priorities of a variety of clients
  • Project management tool experience
  • Exceptional communication skills, especially written
